What's Inside

8 Templates. Every Scenario.

Every type of negative review a dental practice encounters has its own psychology — and its own HIPAA risk profile. The billing complaint requires a different response than the pain complaint. The fake review requires a completely different approach than the rude staff complaint. These templates are written for each specific scenario, not as one-size-fits-all responses.

Why This Matters

The HIPAA Risk Most Practices Don't Know About

HIPAA's Privacy Rule prohibits disclosing Protected Health Information (PHI) without patient authorisation. A public response that mentions clinical details — even in the context of defending the practice — constitutes a disclosure.

The fine for a single HIPAA violation ranges from $100 to $50,000. The response templates in this playbook are written specifically to acknowledge concerns and invite offline resolution without disclosing any PHI.

The rule most practices break: Even responding to positive reviews can be a HIPAA violation. Saying “glad your whitening procedure went well” publicly confirms the patient received a specific treatment. “Glad your experience was positive” is safe. Template 8 covers this specifically.
